Simam AI Lab / Policy / Last updated 16 August 2026

Privacy notice

How Simam AI Lab handles personal information when people visit the site, contact the lab, or discuss a potential research collaboration.

This first-pass policy text is provided for clarity and launch readiness. It should be reviewed by Simam Digital before publication and by a qualified adviser if the site begins collecting analytics, storing enquiries, processing sensitive data, or running paid platform services.
01

Who we are

Simam AI Lab is the research and innovation division of Simam Digital Ltd, based in Wakefield, United Kingdom. For this website and related project enquiries, Simam Digital Ltd is the organisation responsible for deciding how and why personal information is used.

Simam Digital Ltd is registered in England and Wales under company number 14105316. Company address: 2 Windhill Road, Wakefield, WF1 4BG.

This notice applies to lab.simamdigital.com and the Simam AI Lab pages, notes, publications, research project pages and enquiry flows.

02

Information we may collect

If you contact us or submit a project proposal, we may receive your name, email address, organisation, role, project area, indicative timeline, budget range, and the information you choose to include in your message.

When you browse the site, our hosting and security providers may process technical information such as IP address, browser type, device information, pages requested, timestamps and error logs. This is used to keep the site secure and reliable.

We do not intentionally collect special category personal data through this website. Please avoid including sensitive personal, health, financial, or confidential third-party information in open enquiry forms unless we have agreed a secure process with you first.

03

How we use information

We use enquiry information to respond to messages, assess whether a research collaboration or commercial project is a good fit, arrange calls, prepare proposals, and keep a practical record of conversations.

We use technical information to operate, secure, debug and improve the website. If analytics are added in the future, this notice and the cookie notice should be updated before non-essential tracking is enabled.

04

Lawful bases

For enquiries and project discussions, we usually rely on legitimate interests: responding to people who contact us and developing research or commercial relationships. Where discussions move toward a contract, we may process information because it is necessary before entering into or performing a contract.

For essential security and hosting logs, we rely on legitimate interests in keeping the site available, secure and resilient. For non-essential analytics or marketing cookies, consent would be requested before those technologies are used.

05

Sharing information

We do not sell personal information. We may share limited information with trusted suppliers who help us host, secure, maintain or communicate through the website, and with professional advisers where needed.

If a potential collaboration involves universities, councils, funders or delivery partners, we will only share relevant information where it is appropriate for the discussion or where you have asked us to do so.

We may disclose information if required by law, regulation, court order, or to protect our rights, users, systems or partners.

06

How long we keep information

We keep enquiry and collaboration records only for as long as needed to respond, manage the relationship, evidence decisions, or meet legal and accounting requirements.

Technical logs are normally kept for a limited period by hosting and security providers unless they are needed to investigate security, abuse or reliability issues.

07

Your rights

Depending on the circumstances, UK data protection law gives you rights to access your personal information, ask for corrections, request deletion, object to certain processing, restrict processing, or request portability.

You also have the right to complain to the UK Information Commissioner's Office if you are unhappy with how your personal information is handled. We would appreciate the chance to resolve concerns with you first.

08

Launch review

Reviewed before public launch for the current site state: mailto enquiry flow, no account area, no newsletter form, no custom analytics tracker, and no stored proposal submissions inside the website itself.

If the site later adds Supabase, Firebase, Convex, analytics, downloadable gated resources, research accounts, benchmark uploads or hosted sandboxes, this notice should be reviewed again before those features go live.

09

Changes to this notice

We may update this notice as the lab site evolves, especially if we add analytics, account features, research portals, newsletter subscriptions, downloadable resources, or a hosted platform product.
